Every upload is reviewed within 24 hours, students are reminded before anything is due or expires, and directors see who is cleared for each rotation on one screen. It costs $30 per student, one time, and the school or the students can pay.

What the portal does
- Your requirement list, not a generic one. We set each program’s requirements to match what your clinical partners mandate, including alternate ways to meet a requirement and declination pathways.
- Scan with a phone. Students photograph each page. The portal straightens and cleans the photos and builds the PDF for them.
- Upload guides with examples. Each requirement can show an example of a correct document, the common reasons for rejection, and blank forms to download.
- Screening in the same record. Students order drug screens and background checks inside the portal. Results come back as documents on the requirement.
- Download everything, any time. Students can download all of their documents in one zip file. Directors can download, print and export too, so records never get stuck.
Every upload reviewed within 24 hours
Every upload is checked against your requirements within 24 hours, so a whole cohort never stalls waiting on a single document. A rejection gives the exact reason and what to upload instead, and the student resubmits in one step. Your staff can still approve, reject or set a document back to pending themselves.
Reminders before anything expires
Renewals are read off the document: the expiration comes from the date on it. Flu runs by season, CPR is good through the end of the printed month, and Tdap renews every ten years. Set a deadline and reminders count down to it. Students are reminded by email and text before anything is due or expires, so a lapse is caught before a rotation, not during it.
The director dashboard
Four numbers on one screen: pending review, expiring in 30 days, high risk, and students not cleared for an assigned rotation. Filter by program, cohort or status, and message students with their missing items already listed.
- Clinical sites and rotations. Affiliation agreements with an expiry countdown, rotation assignments, site capacity, clinical hours, and an optional block on placing a student who is not cleared.
- Secure links for clinical sites. Send a site only the records it needs. Each link has an access code, expires in 30 days, shows when it was opened and can be revoked.
- Audit-ready reports. Pull a clean, current compliance report for any cohort the moment a clinical partner asks.
Pricing: $30 per student, one time
The portal fee covers the whole program; it is not charged every year. The school or the students can pay. Administrator and faculty accounts are free and unlimited, there are no long-term contracts and no bundling requirements, and programs enrolling 500 or more students can ask about volume pricing. Drug screening, background checks and N95 fit testing
- Drug screening on your campus, from $25 a student. Our team travels to your campus and screens the whole cohort in one visit. Price depends on cohort size. - Or at Quest. Students who miss the campus date order online and test at any Quest location nationwide: $40 for a 10-panel, $50 for an 11-panel with alcohol, $55 for a 12-panel. Order a drug screen.
- Background checks through Checkr. Standard ($35): SSN trace, national criminal, sex offender and global watchlist searches. Premium ($70) adds 7-year county criminal and FACIS Level 3 healthcare sanctions. Results in 3–5 business days. Order a background check.
- N95 fit testing on campus, $25–$35 a student based on volume. Qualitative fit testing that can run during a drug screening event, with results logged to the portal. See N95 fit testing.
Results land in the same student record as the immunizations and CPR card, so one dashboard shows who is cleared.
